Microsoft Licensing, Azure Subscriptions & Backup for Businesses
Licensing advisory, supply, provisioning and ongoing optimization across Microsoft 365, Azure, Microsoft Copilot, Teams, Entra, Intune, Defender, Purview and backup services. We map licensing to people, workloads, risk and actual consumption instead of applying the same plan to everyone.

Licensing for the Microsoft services your users and workloads actually need
We focus on Microsoft Cloud and the protection services around it. Packaging, availability and purchasing model vary by market, agreement and SKU, so we validate the current Microsoft offer before quoting.
Business, Enterprise and Frontline suites, including current E3, E5 and E7 scenarios where applicable.

Licensing assessmentThe right Microsoft license is a persona and workload decision
“Give everyone E5” and “give everyone the cheapest plan” are both weak licensing strategies. We map capabilities to the people who need them, while checking product terms, technical dependencies and operational ownership.
We start with roles, devices, security exposure, collaboration patterns, data requirements, telephony, AI use cases and Azure consumption. Then we create a license matrix that explains why each profile needs each capability.
- Base suite first.
- Add-ons only where justified.
- Shared resources licensed by their actual model.
- Consumption services separated from seat licensing.
- Renewal commitments reviewed before purchase.
Business, Enterprise, Frontline and add-ons: build the mix around requirements
Microsoft 365 is a family of plans rather than one license. The best fit depends on organization size, endpoint management, security, compliance, collaboration, telephony, analytics and AI requirements.
Small and mid-sized organizations that need productivity plus varying levels of endpoint management and security.
User limits, desktop apps, Intune/Entra requirements, Teams packaging and security needs.
Organizations requiring enterprise capabilities, scale, advanced security/compliance or integrated AI/security bundles.
Current E3/E5/E7 packaging, standalone services, add-ons, Teams configuration and the actual workload requirement.
Task workers, shared-device scenarios and users who do not need a full information-worker suite.
Device model, Teams, apps, mailbox/storage, security and operational constraints.
Exchange, Teams, Teams Phone, Copilot, Entra, Defender, Purview, Power BI and other targeted capabilities.
Prerequisite licenses, current product terms and whether a suite upgrade is more efficient.
Commitment term, billing frequency and cancellation are not the same thing
A common licensing mistake is choosing a lower recurring payment without understanding the contractual commitment behind it. Under Microsoft New Commerce, term, billing cadence, quantity flexibility and end-of-term behavior should be reviewed before purchase.
Offer availability varies. Longer commitments can improve commercial predictability but reduce flexibility.
Billing frequency is separate from the subscription commitment term.
Useful for simplifying renewal calendars, although alignment can shorten the effective first term.
Current Partner Center policy provides a prorated cancellation window during the first seven calendar days of a new term or renewal for eligible license-based subscriptions.
After the cancellation/reduction window closes, committed quantities can be much less flexible until the next term.
Since May 2026, the former free grace period has been replaced by explicit end-of-term options, including a paid Extended Service Term for eligible CSP subscriptions.
Copilot licensing should follow readiness and use cases, not hype
Microsoft Copilot requires an eligible base subscription and the applicable Copilot license or offering. We validate prerequisites before purchase and recommend phased cohorts when the organization is still preparing permissions, data governance or adoption.

Base-license validation
Check whether each user already has a qualifying Microsoft 365, Office 365 or other currently eligible base plan and whether mailbox, identity and app prerequisites are met.
Data & governance readiness
Licensing alone does not fix oversharing. We align the commercial decision with SharePoint governance, permissions, Purview and rollout controls.

Pilot cohorts
Start with roles where there is measurable value, then expand based on adoption, security readiness and business outcomes.
Security licensing should map to the controls you will actually deploy
Paying for Entra, Intune, Defender or Purview without deploying the corresponding controls creates false confidence. We review both entitlement and implementation so the licensing recommendation has a technical purpose.
Microsoft Entra
Identity protection, Conditional Access, privileged access and advanced Entra capabilities depending on plan and scenario.

Microsoft Intune
MDM, MAM, compliance, endpoint lifecycle and advanced Intune capabilities where they are operationally justified.
Microsoft Defender
Endpoint, identity, email/collaboration and XDR-related licensing according to the workloads that need protection.
Microsoft Purview
DLP, sensitivity, audit, eDiscovery, retention and advanced data-security/compliance capabilities according to the required feature set.
Azure is primarily a consumption and commitment decision, not a user-seat license
We treat Azure separately from Microsoft 365 seat licensing. Azure cost is driven by subscriptions, resources, consumption meters, software entitlements and optional commitments such as Reservations or Savings Plans.
Azure subscriptions & consumption
A subscription is the commercial and governance container for Azure resources. We can help structure subscriptions, connect billing to the right ownership model and review whether cost commitments are appropriate for stable workloads.
- PAYG consumption and Azure Marketplace charges.
- Cost allocation and budgets.
- Commercial commitments only where the workload justifies them.
Backup can be native Microsoft consumption, partner software, or a combination
We design the commercial model together with the recovery requirement. Retention is not the same as backup, and Microsoft 365 Backup and Azure Backup do not use the same commercial model as normal Microsoft 365 seat licensing.
Microsoft 365 Backup
Native Microsoft 365 backup for supported Exchange Online, OneDrive and SharePoint content. In 2026 it remains a pay-as-you-go consumption service linked to Azure billing rather than a traditional per-user seat.
Microsoft 365 Backup overviewAzure Backup
Azure-native protection for supported Azure and hybrid workloads. Cost depends on workload type, protected instances, storage, redundancy, retention and data change patterns.

A complementary option for broader backup estates or retention/platform requirements that are not fully covered by the chosen Microsoft-native design.
MSAdvance backup guideTeams licensing needs separate decisions for collaboration, telephony, rooms and resource accounts
Teams entitlement does not automatically solve every voice or meeting-room scenario. We map the collaboration license, Phone System entitlement, PSTN connectivity and licenses for shared resources separately.

Teams entitlement
Validate whether Teams is included in the purchased Microsoft 365 offer or needs a separate Teams SKU based on the current package and market.

Teams Phone
Users requiring phone-system capabilities need the appropriate Teams/Phone licensing combination plus a PSTN connectivity option.

Rooms & resource accounts
Meeting rooms, common-area devices, auto attendants and call queues use licensing models that differ from normal user licenses.
We audit what is purchased, what is assigned, what is used and what is actually required
License optimization is not just an Excel exercise. We correlate commercial commitments with tenant assignments, user lifecycle, deployed security controls, workload usage and Azure consumption.
Purchased vs. assigned
Plans, add-ons, quantities, renewal dates, commitment terms, billing cadence and unused inventory.
License by role
Office, frontline, privileged, shared-device, room, telephony and Copilot cohorts mapped to capability requirements.
Underused capabilities
Advanced plans paid for but not deployed, disabled users, stale assignments and duplicate coverage.
Consumption & commitments
Monthly spend, idle resources, Reservations/Savings Plans, backup costs and Hybrid Benefit eligibility where relevant.
Licensing needs an operating model after the purchase
Hiring, departures, role changes, projects and acquisitions continuously change licensing demand. We help define controls so quantities and assignments follow the organization instead of drifting over time.
Group-based licensing
Where appropriate, use Microsoft Entra groups and controlled processes to reduce manual assignment and keep licenses aligned to personas.
Joiner / mover / leaver
License assignment at onboarding, changes when roles move and controlled removal during offboarding without losing required business data.
Renewal calendar
Review plan mix, quantities, new Microsoft packaging, commitment terms and expected growth before renewal dates.
Self-service & auto-claim
Review features that can create unplanned assignments or consumption and apply governance where the organization needs tighter control.
Microsoft 365 + Azure view
Seat licenses and Azure consumption should be reported separately but reviewed together when they support the same service.
Audit-ready documentation
Keep purchase evidence, license matrix, assignments, renewal decisions and change records so the rationale can be reconstructed.

Licensing advice from a team that also designs and operates the Microsoft platform
A quote tells you what a product costs. Architecture and operational experience help explain whether you need it. We work across Microsoft 365, Azure, identity, security, devices, backup and cloud migration, so the licensing decision can be connected to the configuration that follows.
Licensing with technical context
What we need to size Microsoft licensing correctly
You do not need to know the exact SKU. Give us the environment, user profiles and objective; we can build the licensing scenarios from there.
No credentials are required for a commercial quote. If a technical assessment later needs tenant or Azure access, we agree least-privilege permissions and access duration separately.
Microsoft licensing, Azure subscriptions and backup: the questions that prevent expensive mistakes
What Microsoft licenses can MSAdvance supply and manage?
We focus on Microsoft licensing and cloud subscriptions: Microsoft 365 Business, Enterprise and Frontline plans, eligible standalone services and add-ons, Microsoft Copilot, Teams and Teams Phone, Entra, Intune, Defender, Purview, Azure subscriptions and consumption, Microsoft 365 Backup and related backup solutions. Availability depends on the current channel, market and offer.
How do I choose Microsoft 365 Business vs Enterprise vs Frontline?
We compare user role, organization size, desktop-app requirements, device management, identity/security, compliance, Teams, telephony and AI. The decision is normally made by persona rather than using one plan for every employee.
Do we need Microsoft 365 E5 or E7 for every user?
No. E5 and E7 provide broader capabilities, but the efficient design is often persona-based. Microsoft 365 E7 became generally available in 2026 and adds Microsoft Copilot, Microsoft Entra Suite and Agent 365 on top of E5 capabilities. We validate whether those capabilities are needed before recommending a higher suite.
Is Microsoft Teams included in Microsoft 365?
It depends on the specific offer, market and whether the subscription is a legacy or current SKU. Microsoft currently has commercial suites with Teams and without Teams in several plan families, so we verify the actual SKU instead of assuming inclusion.
What is Microsoft New Commerce Experience (NCE)?
New Commerce is the current commercial framework used for many Microsoft cloud subscriptions through partners. It separates commitment term from billing cadence and supports different terms depending on the offer. Quantity flexibility and cancellation are constrained by Microsoft policy, so the commitment should be reviewed before purchase.
Can Microsoft 365 license quantities be reduced at any time?
Not always. For eligible license-based subscriptions in New Commerce, the current Partner Center cancellation/reduction window is seven calendar days at the beginning of a new term or renewal. After the window closes, committed quantities can remain in force until the next applicable term change.
Can you supply Microsoft through CSP?
Yes, MSAdvance can supply and manage Microsoft licensing under the applicable channel model. The exact commercial route depends on the customer, market and product. We also help with provisioning, renewal and ongoing optimization.
How is Azure licensing different from Microsoft 365 licensing?
Most Microsoft 365 products are licensed through subscriptions and user/device entitlements. Azure is primarily consumption-based: resources generate charges inside Azure subscriptions, with optional commitments such as Reservations or Savings Plans. Some workloads also include software-license considerations such as Azure Hybrid Benefit.
Should we buy Azure Reservations or Savings Plans?
Only when usage is sufficiently predictable. Reservations can fit stable eligible resources; Savings Plans can provide broader compute flexibility. We review utilization, workload horizon, architecture and expected change before recommending a commitment.
How is Microsoft 365 Backup licensed?
Microsoft 365 Backup is a pay-as-you-go consumption service rather than a traditional user-seat license. Billing is connected to Azure, and Microsoft now also exposes pay-as-you-go management in the Microsoft 365 admin center. We size it from the supported workloads and data that actually need protection.
How is Azure Backup charged?
Azure Backup pricing depends on the workload and protection model. Depending on the scenario, cost can include protected-instance and backup-storage meters or other workload-specific charges. We estimate backup together with retention, data churn, redundancy and recovery requirements.
Is Purview retention the same as backup?
No. Retention and backup solve overlapping but different requirements. Purview retention governs lifecycle and preservation; backup is designed around recoverability, restore points and RPO/RTO. The correct strategy can use both.
What license is required for Microsoft Copilot?
Users need an eligible Microsoft 365 or Office 365 base subscription plus the applicable Microsoft Copilot license or offering. Requirements change as Microsoft updates packaging, so we validate the current license and technical prerequisites before purchase.
How does Teams Phone licensing work?
Teams Phone requires the correct Teams/Phone entitlement for users plus a PSTN connectivity model. Resource accounts for auto attendants and call queues use their own resource-account licensing rules. We design the complete licensing and telephony combination rather than quoting Phone in isolation.
Can MSAdvance audit our current Microsoft licenses before renewal?
Yes. We can review purchased and assigned SKUs, user personas, inactive licenses, advanced capabilities that are paid for but not deployed, New Commerce terms, Azure consumption, backup coverage and upcoming renewals, then produce a prioritized recommendation.
Can we combine Microsoft-native backup with AvePoint or Veeam?
Yes, when requirements justify it. Microsoft 365 Backup and Azure Backup cover important native scenarios, while partner solutions can add broader platforms, retention models, workflows or operational features. We choose based on data, risk, RPO/RTO and the required recovery model.
What is Microsoft 365 E7?
Microsoft 365 E7 became generally available in 2026. Microsoft describes it as an E5-based suite that also includes Microsoft Copilot, Microsoft Entra Suite and Agent 365. It can simplify licensing for organizations that genuinely need those capabilities, but it should still be evaluated by persona and use case.
