Teams is the conversation and collaboration experience; SharePoint is the shared-content platform behind team files; OneDrive is primarily for individual work content and controlled sharing.

Conversations, meetings, channels and work in context. We design team types, channels, ownership, guests, provisioning and closure.

SharePoint
Shared content, libraries, intranet, hubs, metadata, permissions, publishing and organizational knowledge.
OneDrive
Individual working files, drafts and personal business content. When a document becomes a shared team asset, it should live in the appropriate shared workspace.

The owner is one person and the content is not yet a stable team asset.

From device onboarding to retirement
Windows Autopilot can prepare devices without maintaining a custom image for every model. Intune then continues with configuration, apps, compliance, security, updates and retirement.
AI readiness starts with permissions and content
Microsoft 365 Copilot can work with information the user is already authorized to access. That is why AI readiness should not start with license assignment; it should start by reviewing SharePoint, OneDrive, permissions, owners, sharing, sensitive content and lifecycle.
Identify sites, links and permissions that are broader than necessary before increasing discoverability.
Reduce inactive sites, ownerless workspaces and obsolete content that weaken governance and relevance.

Useful governance is not about creating hundreds of rules. It defines who can create, who owns each workspace, how sharing works, when access or ownership should be reviewed and what happens when a workspace or device is no longer needed.

There is no single “Modern Workplace” license that solves the project
Cost combines professional services and, where required, Microsoft licensing. The right mix depends on user profiles, region, required capabilities and the security model. Teams, Copilot, Intune and add-on packaging changes over time, so we validate the current catalog during design.
Do we need Microsoft 365 E5?
Not necessarily.Business Premium, E3, E5, Frontline and add-ons can support different user populations. Designing Modern Workplace around one license often creates unnecessary cost or functional gaps. We define personas and scenarios first, then the licensing matrix.

Microsoft 365 Modern Workplace: questions to answer before implementation
What exactly is a Microsoft 365 Modern Workplace?
It is a way of working built on Microsoft 365 that connects collaboration, content, endpoints, identity, AI and governance. It is not a single product or license. The project defines how Teams, SharePoint, OneDrive, Intune, Entra and Copilot should support real business needs.
What is the difference between Teams, SharePoint and OneDrive?
Teams is the collaboration and conversation experience; SharePoint stores and governs shared content and underpins team files; OneDrive is primarily for individual working content. A clear architecture reduces duplication, unclear ownership and reliance on attachments or unmanaged folders.
Does Modern Workplace include a Microsoft 365 migration?
Not automatically. If email, files, Teams, SharePoint or other data must move from another environment, migration is sized as a dedicated workstream with its own assessment, tooling, change windows and validation. It can be coordinated with Modern Workplace delivery.
Do we need Microsoft 365 E5?
Not necessarily. The right mix depends on users and required capabilities. Business Premium, E3, E5, Frontline and add-ons can coexist. We review Teams, Intune, Entra, Defender, Purview and Copilot requirements before recommending a licensing matrix.
Is Microsoft 365 Copilot included with every Microsoft 365 plan?
No. Copilot has licensing requirements and Microsoft packaging changes over time. Assigning a license also does not replace data, permissions, security, governance and adoption readiness.
What should be reviewed before deploying Copilot?
Especially SharePoint/OneDrive permissions and sharing, ownerless sites, inactive content, sensitive data, Purview policies, Conditional Access, pilot users and business use cases. Copilot respects existing permissions, so readiness should address oversharing and weak governance before scale.
Can Intune protect BYOD without managing the entire personal device?
Yes, in compatible scenarios through Mobile Application Management and app protection policies. Intune can protect corporate data inside managed apps without always requiring full MDM enrollment. The design depends on platform, applications and risk.
Does Windows Autopilot guarantee a laptop will be ready in a few minutes?
No universal time should be promised. Autopilot reduces the need for custom images and automates parts of provisioning, but duration depends on the network, hardware, applications, policies and Enrollment Status Page. We validate the experience with pilot devices.
Can Teams replace our business phone system?
It can in many scenarios through Teams Phone and an appropriate PSTN model, but it is not automatically part of every license or Modern Workplace project. Numbering, country, carriers, devices, emergency calling, queues and business requirements must be assessed first.
Can we start with SharePoint or Intune and add the rest later?
Yes. The engagement can be organized into workstreams such as Teams/SharePoint, endpoint management, identity, Copilot readiness or adoption. The key is to define an architecture that lets additional components be added without reworking earlier decisions.
How long does a Modern Workplace project take?
There is no universal duration. An assessment or a focused workstream may take weeks; a broader transformation covering collaboration, information restructuring, endpoints, AI and adoption may require multiple phases. The timeline is estimated after understanding users, data, devices, dependencies and change windows.
How do we measure whether the project worked?
We define observable measures such as shared-workspace adoption, activity, incidents, onboarding time, ownership, inactive sites, search quality, support demand, satisfaction and Copilot use where relevant. The metrics are agreed against the customer's baseline rather than using generic industry percentages.
